Microsoft Word Lesson 1

Microsoft Word is an application software used to prepare documents. This is the application used to write letters, CVs, books and other such text documents. If one is well versed with this application even designing posters and cards can be done using Microsoft Word.

We use Microsoft Word to do the following:

1. Create professional-looking documents that incorporate impressive graphics.

2. Give documents a consistent look by applying styles and themes that control the font, size, color, and effects of text and the page background.

3. Store and reuse preformatted elements such as cover pages and sidebars.

4. Create personalized mailings to multiple recipients without repetitive typing.

5. Track reference information and compile tables of contents, indexes, and bibliographies.

6. Coauthor documents with team members. Safeguard documents by controlling who can make changes and the types of changes that can be made, and by removing personal and confidential information.

For easier learning of this application, it is divided into tabs and each tab has commands that carry out specific tasks. These tabs are; File, Home, Insert, Design, Layout, References, Mailing, Review and View. See below.

Note: I am using Microsoft Word 2016 but there are other versions of this application like Microsoft Word 2007 which is rarely used now, Microsoft Word 2010, Microsoft Word 2013 and Microsoft Word 2019. There may be a little difference of how the tabs are arranged but they work the same.




Each tab is divided into groups. Each group contains commands that carry out related functions. Let us start with Home tab. This tab has these groups; Clipboard, Font, Paragraph, Styles and Editing. See below.



Clipboard

The Clipboard contains commands that are used to copy, cut, paste and format painter.

Copy and Paste Command. If one has a text that repeats itself copy command is used to copy it and paste command is used to paste it where one want it to appear. This can be repeating the text on the same document or pasting it in another document.

Note: Text to be copied need to be selected or highlighted.

The alternative way of copying and pasting a text is selecting or highlighting it and then while cursor is above the selected text you right click and click copy. Pasting can also be done by clicking where you want to paste text copied and then right click and click paste on the menu that appears.

Cut command is used to remove text from a document. But, the text that is cut can be pasted on the same document or in another document.

Format painter command is used to copy text formatting from one part of the document to another. I will come back to this command in the coming lessons.
