Best Practices for Saving Filenames

A file
is a unit of digital data that has an individual name.

Each file on your computer has a filename.

You can name files pretty much anything you want. However, keep in mind that the names need to be functional; they need to tell you, and others, what the files are.

This will make your system easy to navigate and your information easy to find. Using a standard set of naming practices, or a naming convention, will ensure that your files are organized and user-friendly.

1. Use short but meaningful names. Do not use long names that can get cut off or be hard to see in a window. Stay away from unnecessary words.

2. Be consistent. Keep your wording and phrase order consistent for best results (e.g., “kiambu2021”, “kiambu2022”, “kiambu2023”).

3. Make numbers two digits. To make sure numbers display in the correct order, use two digits.

4. Order by year, month, and day. By starting the filename with the date, and starting the date with the year and month, you can ensure that your computer will sort the files chronologically.

5. Replace the space. Instead of using spaces to indicate the separation of words, use capital letters or an underscore (_).
